Quote Desk Onboarding Guide
Everything your team needs to get started with the PhishFort Quote Desk
This guide covers the PhishFort Quote Desk: requesting takedown quotes and research reports for your clients, reading what comes back, and deciding what to do with it.
Getting started
There is one portal for submitting and managing all your client quote requests: quotedesk.phishfort.com. No separate login system, no passwords to manage.
Signing in
The Quote Desk uses one-time email codes. Here is how it works:
- 1Go to quotedesk.phishfort.com.
- 2Enter your work email address.
- 3We email you a short numeric code. Check your spam folder if it doesn't arrive.
- 4Paste the code into the page. You're in.
Team access
Access is granted by email domain. Everyone at your company who uses their work email can sign in and see your full request list. A colleague can pick up a request you submitted, and you can pick up theirs. All requests are private between your team and PhishFort.
The Quote Desk
The Quote Desk is how you ask PhishFort to price takedown protection for one of your clients. Tell us who the client is. We research their brand exposure, price the right level of cover, and send you back an annual quote. You accept it or you don't.
How it works: three steps
- 1Submit a requestTell us who the client is, what you need, and the volume you expect. It takes under two minutes.
- 2We research and price itYour request reads “In review” while our analysts research the client's exposure and build the quote.
- 3Review and acceptDownload the quote, share it with your client, then accept or decline. Nothing commits you until you hit Accept.
Submitting a request
The new request form is on the left of your home page. Only four fields are required; the rest help us scope the work and are worth filling in when you have them.
- Client name
- The end client. This name appears on the quote document.
- Client contact
- An email at the client, if you have one. We do not contact them without asking you first.
- Primary website
- The client's main domain. This is the most important field, so get it right.
- What do you need?
- Tick a quote, a research report, or both. At least one box must be ticked.
- Include sub-brands?
- Yes if the client has multiple brands or regional sites. No for the main brand only.
- Brands and domains to protect
- Only appears if you answer Yes above. List the sub-brands you know about, one per row.
- Estimated submissions per year
- Your best guess at how many threats they'll report. Leave blank if unknown; we estimate it ourselves.
- Notes for PhishFort
- Anything that changes how we should scope: a current vendor, a recent incident, a deadline.
Submitting gives the request an ID in the form PFQ-XXXXXX. Quote that ID in any email and we will pull it up instantly.
After you submit
Once submitted, your request goes straight to our analysts. The status shows “In review”. There is nothing for you to do while it sits there. Your list refreshes automatically, and we email you the moment your quote or report is ready.
Spotted a mistake in what you submitted? Reply to your PhishFort contact with the request ID. We can correct details before the quote goes out.
Reading your quote
When the quote is ready the status changes to “Quote ready” and the request opens as a document rather than a form. The quote has five parts:
| On the quote | What it means |
|---|---|
| Total per year | The annual price for the cover described below it, in the currency shown. |
| Valid until | The last day we will honour this price without re-quoting. |
| Brands covered | Every brand the price covers, including anything our research turned up. |
| What's included | Notes from the team on scope: what is covered, and anything worth knowing before you decide. |
| Download PDF | The same quote as a PDF, ready to forward to your client. It carries no internal pricing workings. |
Accepting or declining
A quote you have not answered stays open until it expires. When you are ready, use the buttons at the foot of the quote. Both ask you to confirm before anything happens.
- Accept quote: this is the commitment point. We move into procurement, onboarding, and invoicing. Your PhishFort contact will be in touch about both.
- Decline: this closes the quote and tells us. You can add a comment saying why; pricing, timing, and scope are all useful to hear. Declining is not final; ask us to reopen if the client changes their mind.
If a quote expires
Quotes are valid for one month from the day we send them. Past that date the status reads “Expired” and the accept button disappears. Ask your PhishFort contact to reissue it. A reissued quote arrives against the same request ID with a fresh validity date.
The research report
The research report estimates how much brand abuse a client is likely to face over the coming year. You can ask for one on its own, or alongside a quote. It is written to be read by the client directly: there is no PhishFort pricing in it, so you can forward it as-is.
A report covers
- A short summary for each brand we looked at.
- The risk drivers behind that brand's exposure.
- An estimated number of yearly submissions, broken down by lookalike domains, fake apps, impersonation accounts, and malicious content on shared or compromised infrastructure (hosted platform pages, URL shorteners, and smishing landing pages).
- The scale signals behind the estimate, such as traffic volume and brand visibility.
- The evidence we found while researching, so the numbers can be checked rather than taken on trust.
A report-only request never shows a price and has nothing to accept or decline. Its status reads “Report ready” when the report is available to download.
Request statuses at a glance
Every request carries one status. Here is what each one means:
- In review
- With us. We are researching the client and pricing the request. Nothing for you to do.
- Quote ready
- Your quote is priced and waiting for an answer. Reads “Report ready” if you asked for a report on its own.
- Accepted
- You accepted. Procurement, onboarding, and invoicing follow.
- Declined
- You declined. Your PhishFort contact can reopen it if the client changes their mind.
- Expired
- The quote passed its valid-until date without an answer. Ask us to reissue it.
Requests that include a research report carry a second marker beside the status: “Report” when you asked for a quote and a report, “Report only” when you asked for the report alone.
Working through your requests
Your home page lists every request from your company, newest activity first. It is built to handle partners running many clients at once.
- Search by client name or request ID using the box above the table.
- Sort by any column heading: click once to sort, again to reverse it.
- Open a request by clicking its row, or move through the list with the arrow keys.
- On a narrow screen, the table becomes a stack of cards, so the desk works on a phone.
Getting help
Your PhishFort contact is the fastest route for anything the desk cannot do for you. They can correct a submitted request, reopen a declined quote, reissue an expired one, or talk through a price before you commit. Include the request ID and they can pull it up immediately.
For access problems, such as a colleague who cannot sign in or a new email address that needs adding, the same contact handles it.
